04 Client Responsibilities

- Confirm patient consent to billing and communication before either is initiated
- Promptly notify us of any changes in provider status, payer contracts, or operational structure
Note: Medbilling RCM is not responsible for delays, denials, or revenue loss caused by incomplete or inaccurate information provided by the client.
05 Fees and Payment Terms
Service fees are agreed upon in writing and may be structured as:

06 No Guarantee of Results
Medbilling RCM uses best practices in the industry to maximize reimbursements and reduce denials, but we cannot guarantee specific amounts of money back, payment timelines, or approval rates.
Why results vary: How much a patient is billed and reimbursed depends on their insurance company's rules, the quality of clinical records provided, and payer policies that are outside our direct control.
07 HIPAA Compliance and Confidentiality
Medbilling RCM strictly complies with the Health Insurance Portability and Accountability Act (HIPAA) and all applicable privacy laws.
- Protected Health Information (PHI) is accessed only as necessary to perform contracted services
- PHI is safeguarded using administrative, technical, and physical security measures
- All staff handling PHI are trained in confidentiality and compliance requirements
A Business Associate Agreement (BAA) may be executed where required by applicable law or contract.

08 Data Security
We utilize reasonable security measures including encryption, secure access controls, and monitoring systems to protect sensitive information entrusted to us.

Direct damages cap: Our total liability for any direct damages shall not exceed the amount paid for services during the ninety (90) days prior to the incident giving rise to the claim, even if we have been advised of the possibility of such damages.

Upon termination of services:
- All outstanding fees remain payable in full
- Confidentiality obligations survive termination and remain in force
- Reasonable assistance may be provided for data transition upon request
